What a CSV vocabulary file is
A comma-separated values file represents a table in plain text. Each row is usually one saved word, and each column stores a field such as the word, meaning, translation, category, example, or date. Spreadsheet applications can open CSV files, but the format remains portable and tool-independent.
Export before making major changes
Create a fresh export before deleting categories, cleaning duplicates, moving browsers, or importing another list. Keep the original backup unchanged so you can return to it if a later edit removes information or shifts data into the wrong columns.
Inspect the headers and encoding
Open the file and check the first row before editing. Preserve the expected column names and order unless the importing tool explicitly supports mapping. Save with UTF-8 encoding so accents, non-Latin translations, and punctuation remain intact.
Clean carefully in a spreadsheet
CSV is useful for finding empty meanings, inconsistent categories, and obvious duplicates. Sort and filter rather than deleting large ranges blindly. Be careful with commas, quotation marks, line breaks, and automatic date or number conversion because spreadsheet software may reinterpret them.
Test a small import first
When moving data into a vocabulary tool, begin with a small copy containing a few representative rows. Confirm that meanings, categories, translations, and special characters arrive correctly. Only then import the complete file.
Keep backups meaningful
- Include the export date in the filename.
- Store a copy outside the browser profile.
- Keep one untouched original before bulk editing.
- Open the file occasionally to confirm it is readable.
- Protect the file if your word notes contain private information.
